Lesson Policies, Terms and Conditions

Policies, Terms and Conditions will be subject to updates:

From time to time these policies and conditions will be subject to updates.

It is the student (and parent / carers) responsibility to be aware of and abide by the policies, terms and conditions.

COVID-safe plan updates:

Students using the studio - Record Keeping

Students are required to 'check-in' using the QR code just inside the Japara foyer for in-person lessons at Kilsyth.

Social distancing and sanitisation

Social distancing of at least 1.5m will be adhered to.

Students will be encouraged to use masks before beginning to sing before and after in-person lessons.

Students will use hand sanitiser before entering Japara house and at the completion of their lesson before leaving.

The studio will be sanitised by the teacher after each lesson.

Teachers and students who are unwell not to attend in-person lessons

Students who are unwell or have any family members who are unwell will not be allowed to attend lessons.

Students who feel unwell are encouraged to contact their teacher and have an online/remote lesson instead.

Teachers who are unwell will instead take lessons online/remotely instead.

To see results from lessons:

To get the most out of singing lessons, we recommend students commit to regular lessons during the term. With ongoing lessons and a student's own regular practice they will see growth: equipping them with improved knowledge, skills and confidence in their ability.

Rehearsal between lessons

Students who rehearse regularly, generally make better progress.

Short, focused rehearsal is better than infrequent, longer sessions.

Your vocal folds are muscles and require exercising through singing with technique - building neural pathways and muscle memory.

We recommend writing in your diary days you will rehearse, as well as your weekly lesson time, to commit to regular rehearsal.

Please organise a suitable rehearsal space at home (private, speakers, music stand etc.) that mimics your lessons.

Just rehearsing in the car without backing tracks is not dedicated rehearsal: you need to adequately warm-up and master the techniques learnt in your lessons.

Recommended Practise:

Primary students: Rehearsing for 20-30 minutes 1-2 times a week.

Adults and high-school aged students: Rehearsing 30-45 minutes 2-3 times a week.

VCE singing/Tertiary Students/ Auditioning for music degrees/ Exams: Rehearsing for 1 hour 4+ times a week.

Dedicated, keen singers would rehearse in some capacity (even just warm-ups) each day and make sure they're participating in focused practice.

Lesson Payment

Payment of lessons:

  • All lessons must be paid upfront and booked via the Once Hub link.

  • After the first two initial lessons, new students must pay for a half term or full term of lessons up front.

  • No refunds will be given for missed lessons or a students failure to make a timely reschedule of their lesson (see below).

In-Person and Online Lessons:

  • To get the most out of singing lessons, we recommend students commit to regular weekly lessons during the term. With ongoing lessons and a student's own practice they will see growth: equipping them with improved knowledge, skills and confidence in their ability.

  • Lessons start and end on time. Extra time cannot be given when a student arrives late. E.g. If your lesson starts at 3.30pm and you arrive at 3.40pm, your lesson will still cease at the end of your 1 hour lesson (4.30pm). We are strict with this policy, as we are very mindful of subsequent students having to wait longer than necessary.

  • No observers are permitted for adult lessons.

  • If students are school-aged children, a parent will be permitted to observe the lesson. Please discuss with your teacher whether your child would benefit from being in the lesson without a parent. Most children will do better in lessons when on their own.

Cancelling Lessons - No cancellations possible within a term

Please note: We believe our teachers have a right to a steady income from their lessons and do not generally do make-up lessons during the term (allowing 1 reschedule per term). Please don't schedule other commitments during your lesson time as two missed lessons means we will open up your time to another student.

Cancellation of In-Person and Online Lessons:

  • Cancellation of lessons within the term is not permitted.

  • If a student misses one or more weekly-scheduled Term Fee lessons for any reason, the student forfeits that lesson.

  • Refunds or reduction of term fees is not permitted (please see rescheduling policy).

Rescheduling Lessons - 1 reschedule possible within a term

Rescheduling of In-Person and Online Lessons:

  • Rescheduling is limited to a maximum of one lesson within the Term.

  • If you reschedule the booking up to 48 hours before the lesson time, you will not be charged a rescheduling fee.

  • If you reschedule the booking within 48 hours of the meeting time, your reschedule fee will be 50% of the lesson fee.

  • The rescheduled lesson(s) must be within the term (ie within the next two weeks from the original lesson date), or caught up on the school holidays of a term.

  • Lessons cannot be rescheduled or credited to the next term.

No-show:

  • Lessons will be marked as ‘no-show’ when a student doesn’t show up within 20 minutes of the lesson time.

  • As per cancellation policy, refunds or reduction of term fees is not permitted.

  • Two missed lessons means your lesson time will be opened up to a new student.

Teacher rescheduling lesson:

  • In the unlikely event that the teacher has to cancel or reschedule a lesson:

    • i. A suitable relief teacher will take the lesson.

    • ii. The lesson cancellation will be communicated and a mutually convenient time rescheduling time will be organised.

Safety During Lessons

Student, client, parents and carer safety:

  • Students, clients, parents and carers are responsible for their own care and safety within lessons and participate at their own risk:

Online Lessons

Lesson recording:

Please be aware that lessons or parts of lesson will be recorded by your teacher so that students have the opportunity to revisit videos and audio exercises in order to take on the feedback during their own practise.

Internet connection and reliability:

You are required to confirm you have suitable internet connection for online video lessons. Teachers are not responsible for a bad connection or loss of time during lessons due to a student dropping out due to internet connection. In the unlikely event that the teacher's connection drops out, they will make up the time during the lesson or in a subsequent lesson.

Online lessons: 20 minutes late arrival time will mean a missed lesson:

Teachers will stay on the call for a maximum of 20 minutes without the student present. If the student does not arrive within the first 20 minutes, they will be marked as a no-show. There are no make up classes for a student not showing to a lesson, the student forfeits this lesson.
